A good document management system is that, which is able to offer document storage securely and efficiently. The service provider should be able to transport the documents to the storage facilities and store it safely. Secondly, the firm should be able to provide document destruction services. Those documents which have become obsolete and are no longer required by the company need to be destroyed. There is high level of ethical conduct required in handling sensitive company data. The destruction should be carried out safely.
Thirdly, the document management system service provider should be able to retrieve the data easily and send it to the company whenever it is required. For this to be achieved, the data should be controlled through labeling and purging to allow for easy search and retrieval. Fourthly, data re-duplications such as scanning should also be provided. Document scanning is essential in that the documents can be stored in digital formats.
Finally, data recovery should be provided by the firm. This is a very essential service since it provides one of the most urgent and critical data management aspects. In document management system, there are risks, which are difficult to avoid at the company level and through an external data back up, these risks can be averted. For example, if a company’s data is stored internally without any external back ups, when a disaster strikes such as floods and fire, the data could be lost completely.
